The post of Administrative Assistant is located in the Resource Mobilization Branch of the Division of Communications and Strategic Partnerships. The incumbent reports directly to the Branch Chief and serves as his/her primary administrative support post.
JOB PURPOSE:
The Administrative Assistant provides administrative support to the Resource Mobilization Branch.
Responsibilties include:
· Provide logistical, administrative and financial support for the Branch;
· Responsible for the logistics of all the Donor Annual Consultations;
· Manage the Branch Chief’s calendar and schedule of appointments;
· Monitor the expenditures of the branch’s budget;
· Prepare requisitions and process payments as needed;
· Organize audio and video conferences;
· Prepare travel authorizations and make travel arrangements;
· Prepare and process necessary documents for the recruitment of ICs, TAs, consultants, and other temporary staff;
· Serve as leave administrator for the branch;
· Maintain an office filing system and assist in archiving;
· Assist with the clearance and mailing of outgoing correspondence.
· Distribute incoming correspondence (regular mail and express mail);
. Prepare power point and other presentations, including computer generated visuals such as graphs;
· Carry out any other duties as may be required by the Branch Chief.
Requirements:
- Completion of secondary school education;
- 5 years previous experience in administration;
- Previous experience in the UN an advantage;
- Strong interpersonal and organizational skills;
- Computer literacy - Word, Excel, Power-point, etc.;
- Good knowledge of Atlas / Peoplesoft;
- Good writing and communication skills;
- Fluency in English is required. Working knowledge of another official UN language is desirable;
- Initiative, sound judgment, strong interest in development work, especially the mission of the United Nations Population Fund and dedication to the principles of the United Nations.
