The Position:

The Senior Driver/Clerk is located in the Pacific Sub-Regional Office (SRO in Suva, Fiji). Under the general supervision of the Sub Regional Director and Representative, and the direct supervision of the Finance Admin Associate, the Senior Driver/Clerk will provide clerical, administrative and driving services to the UNFPA Office. The role will involve in the full range of services including registry, reception, visas/permits, driving and customs clearance.

Job Purpose:

The Senior Driver/Clerk provides safe, secure and reliable driving services to the UNFPA Sub-Regional Director and Representative and other high ranking UN officials and visitors ensuring the highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues. The driver also demonstrated a client oriented approach, courtesy, confidentiality, tact and ability to work with people of different nationalities and cultural background. 

Upon the request of the supervisor, the Senior Driver/Clerk can be also required to provide driving services to the operations and programme staff in the SRO. Simultaneously provide clerical staff in administrative support to other operation services including registry, visa/permits, custom clearance, reception and dispatches of mails, pouches, messages for the smooth flow of programme information;

You would be responsible for:

  1. Transport Management
  • Drives for the Sub-regional Director and Representative and other high-ranking officials and staff.  Ensures provision of reliable and safe driving services
  • Delivery and collection of mail, documents and other items from the post office and other UN agencies
  • Meeting official personnel and visitors at the airport including visa, protocol and customs formalities arrangement when required;
  •    Ensures cost-savings by proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports;
  • Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes and water levels, car washing, etc. so that the vehicle is kept clean and in good running condition at all times;
  • Ensures proper use of vehicles maintenance plans and assistance in preparing vehicle history report for all UNFPA vehicles in the Pacific;
  • Liaises with the field offices and verifies their vehicle logs, maintenance, insurance and provide administrative support to the Field office as the vehicle focal point
  • Ensures to provide inputs for compilation of annual procurement plans for vehicles and its accessories are completed on a timely manner
  • Ensures availability of all the required documents/supplies including vehicle insurance, vehicle registration, vehicle logs, office directory, map of the city/country, first aid kit, necessary spare parts in the assigned vehicle;
  • Keeps track of insurance and other tax formalities;
  • Ensures that the steps required by rules and regulations are taken in case of involvement in an accident;
  • Keep abreast of local traffic and road regulations, security and safety awareness to enable safe travels; 
  • When necessary, assist with translation in local language for the Director and/or  for official personnel in the vehicle;

2. Administration Services

  • Provides registry services for receipts and dispatches of mail, messages, equipment, pouch etc.
  • Receives, sorts, registers and distributes/files incoming messages/mail/cheques
  • Receives and processes outgoing messages/mail including log charges
  • Receives and dispatches diplomatic pouch
  • Monitors and follows up on new or deviations to pouch/mail schedule
  • Assists in the mailing and distribution of newsletters and publications 
  • Assists with the office payment of bills and other office runs, as required;
  • Assists office staff in filing, photocopying and maintaining stationery room when required.  
  • Assists office in preparing TT references for vendor payments
  • Assists in office administration by ensuring photocopy papers are in stock, office diaries are distributed and office equipment is maintained 
  • Assists the administration team for office customs clearance 
  • Assists the administration team in visa and work permit lodgments for staff, consultants and visitors
  • Perform other official duties as required by the UNFPA Director and Representative, IOM or direct Supervisor

 

Qualifications and Experience 

Education:  

  • Completion of Secondary Level Education is required.

 

Knowledge and Experience: 

  • Possession of a clean and valid national driver’s license is a must; Must pass the United Nations driving test;
  • Minimum of three (3) years of practical working experience as a driver in an organization with a safe driving record is a must; 
  • Previous work experience with International Organization, Embassy or with the United Nations system and defense driving skills would be considered an asset;
  • Thorough knowledge of local road traffic laws, driving rules and regulations, local roads and conditions in Fiji; 
  • Good knowledge of chauffeur protocol and courtesies, vehicle maintenance and vehicle safety;
  • Skill in minor vehicle repairs and in depth knowledge of vehicle operations;
  • General knowledge of office operations and prior experience with office mail delivery is desirable;
  • Ability to work as part of a team respecting cultural and religious sensitivity and diversity. 
  • Ability to write and communicate clearly and translating as required; 
  • Basic knowledge in MS Word and MS Excel.

Languages: 

Fluency in English is required. Fluency in local Pacific language is an advantage.
