Job Purpose:

UNFPA Bangladesh seeks an experienced interior designer to develop the layout and design of its new office in Gulshan 2, Dhaka. The consultant will be responsible for creating a state-of-the-art office space that meets international standards, including detailed specifications for refurbishment and furniture. The design should incorporate modern workstations, cubicles, lighting, and electrical/connectivity systems, while integrating existing air-conditioning, electrical systems, and office equipment where possible.

You would be responsible for:

1. Layout, Mapping, and Designing:
The consultant, referred to hereafter as the 'Consultant,' will work under the overall supervision of the International Operations Manager, alongside the Admin Associate, Senior Procurement Associate, and IT Officer. The Consultant’s responsibilities include:

  • Conducting an initial assessment of UNFPA’s specific requirements and measuring the office space.
  • Preparing detailed designs, layouts, and technical drawings, including but not limited to:
  • Work Area Layout
  • Individual Workspace Layouts (rooms, workstations, etc.)
  • Furniture Layout
  • Floor Space Layout
  • Electrical Layouts, including wiring for computers, photocopiers, printers, and LAN equipment, while maximizing the use of existing infrastructure.
  • 3D renderings of the final approved layout
  • Material specifications for workstations, cubicles, and interior works
  • Specifications and locations of file cabinets and storage
  • Safety and security equipment layout (if required)
  • Bill of Quantities (BOQ) for furniture, interior materials, LAN, wiring, sockets, switches, etc.
  • Cost estimates for furniture and related works.

2. Evaluation:
The Consultant will actively participate in the bid evaluation process for selecting suppliers and contractors. This will involve assessing technical and financial proposals based on the design specifications provided.

3. Supervision:
UNFPA will procure necessary goods, equipment, and furniture through a competitive bidding process as per the consultant's recommendations. The Consultant will supervise the installation of office furniture, electrical appliances, and office spaces (cubicles/workstations), ensuring they meet the approved specifications. To prevent a conflict of interest, the Consultant or their firm will not participate in any bidding process for the procurement of items.

4. Additional Services:
The Consultant will provide additional services as required, including offering necessary clarifications to contractors during the implementation phase.

 

Deliverables: 

The Consultant will develop an acceptable international standard design and will prepare all tender related drawings, technical specifications, and Bill of Quantities (BOQ) as per above descriptions.

The consultant is required to submit the following: 

  • Three (3) options of preliminary design, layout, and drawing for above mentioned materials and related services.
  • 3 (three) copies, final designs (accommodating the suggested changes by UNFPA), layout, bill of quantity and drawings for above mentioned materials and related services
  • One 3D design/layout of the final design selected by UNFPA Management.

A completion certificate after due physical verification of work including equipment and services that the contractor has completed the work as per the design, layout and specifications prepared by him/her.

 

Duration and working schedule:

Total 45 workdays (from the date of signature to 31 December 2024)

  • Inventory taking, drawing design and layout preparation – 15 days.
  • Inputs for bids and bid evaluation: 10 days.
  • Assistance in the evaluation of bids and clarifications during the implementation process and monitoring: 20 days.

Delivery:

  • Draft design and layout submission – within 10 days of signing the contract.
  • Final submission of drawing design and layout including specifications of furniture, equipment, and electrical apparatus etc. – within one week of the approval of the design.
  • Submission of certification of work completion by 31 December 2024.

NB. The Consultant may not have fixed working hours and is expected to accommodate with flexible working hours as required.

Place where services are to be delivered:    Dhaka, Bangladesh


Delivery dates and how work will be delivered (e.g. electronic, hard copy etc.):    The consultant will deliver the deliverable by the above-mentioned timeframe both in electronic and in hardcopies.


Monitoring and progress control, including reporting requirements, periodicity format and deadline:    The consultant will provide work progress report on a weekly basis in electronic format to the Operations Specialist. 

 

Qualifications and Experience: 

  • Bachelor’s or Master’s Degree in Interior Design, Architecture, or a related field from a recognized institution.
  • Proven experience in interior design, particularly for office spaces
  • Familiarity with international office standards and procurement processes
  • Ability to deliver 3D renderings and technical drawing
  • Excellent organizational and communication skills

Inputs service to be provided by UNFPA (e.g.  support services, office space, equipment), if applicable:    A desk with internet access will be provided by UNFPA while in Dhaka. The consultant must have his/her own laptop and other accessories to accomplish the assignment.


Payment Instruction:   

  •  40% of the total fees will be paid after submission of final design, layout, and specifications.
  • 60% of the total fees will be paid after satisfactory delivery of all deliverables.
