The Resource Mobilization Associate will be based in the Resource Mobilization Branch (RMB) of the Division for Communications and Strategic Partnerships (DCS), under the supervision of a Resource Mobilization Specialist.
Job Purpose
Under the overall guidance of the Chief of the Resource Mobilization Branch and direct supervision of a RM Specialist, the incumbent is responsible for managing biltearal and multilateral co-financing contributions and regular resource contributions, including the application of these contributions in the contracts module. The incumbent is responsible for supporting data analysis and research related to public sector donors and nurturing donor relations. This includes administration of agreement fund codes, maintaining databases on various fund management issues, corresponding and answering queries from budget holders, assisting the RM Specialist in donor consultations, reporting and in drafting routine correspondence to donors.
Key tasks:
● Maintain financial and qualitative records and databases of all contributions (bilateral and/or multilateral), legal agreements and receivables.
● Review and enter revenue and billing plans for new agreements and other relevant information in the Contracts Module (CM) for ear-marked and un-earmarked contributions. Keep track of Certified Financial Statements to be submitted to donors (prepared by Finance Branch) and draft related correspondence accordingly.
● Regularly extract reports from the contracts module and follow up on compliance (particularly on contributions receivable)
● Update the donor agreement and report tracking system (DARTS) under “myunfpa” thus ensuring that any missing information from the contracts module is automated and captured in “myunfpa”.
● Periodically and at the request of the RM specialist, extract and analyse data from the CM and DARTS
● Maintain statistical data and prepare reports on different fund modalities for inclusion in the monthly revenue forecast report prepared by the RM Contribution Associate and other reports/documents of relevant to the Branch
● Support the quarterly financial reconciliation exercises with Finance Branch and within RMB
● Track and store on shared drives correspondence related to contributions such as no-cost extensions and make any necessary changes in DARTS.
● Perform any other duties as directed by supervisor
Requirements
Education:
Completion of secondary school education. College/Bachelor’s Degree level courses in economics/social issues and/or business administration is highly desirable; specialized, formal training in administration and/or finance is required.
Knowledge and Experience:
• 6 years’ experience working on administration and finance management. Familiarity with UNFPA’s programming and financial regulations, rules and procedures is an advantage.
• High proficiency in the use of spreadsheets, data analysis, word processing and computerized accounting systems is required
• In-depth knowledge of PeopleSoft and experience in troubleshooting data problems is an advantage.
• Excellent written and communication skills, specifically the ability to translate financial and numerical data into reasoned arguments, is an advantage.
